Project Closeout + Separate Technical Scope

Interurban Suites Hotel Proposal

Hi Sherry,

Thank you for the clear direction. I completely agree with your approach—keeping the existing closeout work strictly separated from the new additions ensures we both know exactly what to expect and avoids any scope blurring down the line. I appreciate your transparency and wanting to handle the new technical work properly.

Interurban Suites Hotel logo

To ensure absolutely nothing is missed from your punch list and FAQ questionnaire, here is the complete breakdown of how we are classifying the work, starting with your priority requests.

01 / Priority

The Three Critical Items

Confirmed and scheduled first. I will handle these immediately as part of the existing closeout scope to protect your bookings and search presence.

Existing Closeout
01

Wyndham Booking Path & CTA Verification

A complete booking-path review so every guest reaches the correct Interurban Suites property on Wyndham without being sent to an outdated or unrelated destination.

What this includes
  • Review every booking-related CTA across Home, Offers, Suites, Amenities, Contact, About, Gallery, and 55+ Living.
  • Replace outdated booking URLs with the clean Interurban Suites Wyndham property URL.
  • Remove hardcoded dates, old session parameters, query strings, and anchors that can interfere with the booking journey.
  • Confirm the persistent header booking CTA points to the same correct destination.
  • Click-test the booking path page by page after the updates are applied.
This protects the most important commercial path on the site: getting an interested guest from the website to the correct Wyndham booking experience.
Existing Closeout
02

Old-Domain Redirect & Migration Cleanup

A migration cleanup focused on preserving the value of the old domain while making sure guests and search engines reach the new website cleanly.

What this includes
  • Correct the www version of the old domain so it no longer serves the outdated Duda/Cloudbeds website.
  • Apply the legacy page-to-page redirect map for old Rooms, About, Contact, Gallery, accommodation, and amenity URLs.
  • Reduce unnecessary redirect hops so old URLs reach their new destination as directly as possible.
  • Check the old-domain behavior before the former Cloudbeds/Duda site becomes unavailable.
  • Preserve available legacy photography and content before the old hosting environment is fully retired.
This is not only a visual cleanup; it also protects existing links, bookmarks, branded searches, and accumulated search history.
Existing Closeout
03

Full Factual-Accuracy Review

A page-by-page content accuracy review using Sherry’s verified property information as the source of truth.

What this includes
  • Correct the room structure so Studio, One-Bedroom, Two-Bedroom, and Executive Suite information is clearly separated.
  • Correct kitchen, housekeeping, parking, accessibility, check-in/check-out, and amenity details.
  • Remove monthly-stay language and any other wording that conflicts with confirmed insurance or property policies.
  • Use Duwamish River language only as location context, without promising river views.
  • Remove or correct any unverified statements about the pool, spa, shuttle, in-suite laundry, or other property features.
The goal is a website guests can trust, with the same facts reflected consistently across page copy and guest-facing answers.
02 / No Additional Charge

Remaining Closeout Work

These items are part of the remaining closeout work and will be completed within the original project scope.

Closeout

Property & Room Content

Updating the existing Suites presentation so the accommodation options are accurate, easier to understand, and easier for Sherry to maintain.

What this includes
  • Correct the four room types and remove the current One-Bedroom / Two-Bedroom naming conflict.
  • Add the Executive Suite properly, including its verified two-bedroom, two-bathroom, private meeting-room, and courtyard-fountain details.
  • Update suite photography as the refreshed images are supplied so each room type is visually distinguishable.
  • Replace the 'mini-fridge' wording with the verified full-kitchen details and clarify dishwasher availability accurately.
  • Complete the agreed Wix CMS room structure so routine room information, photos, and approved content can be maintained more easily.
Closeout

Amenities & Policies

Bringing the existing Amenities and policy-related copy into line with the property’s confirmed operating details.

What this includes
  • Update fitness center, hot tub, sauna, breakfast, and guest-laundry hours.
  • Add the outdoor gym, dry sauna, gated parking, EV charging, and verified housekeeping information.
  • Add the FOX Rent A Car partnership on Amenities and Offers, using the confirmed guest discount details.
  • Remove monthly-rate and 'no lease required' positioning while keeping approved weekly-stay language.
  • Update river/location wording so it describes the setting without creating an expectation of river views.
  • Apply the confirmed check-in/check-out, parking, accessibility, and smoking-policy information where relevant.
Closeout

Chatbot & FAQ

Replacing unverified chatbot answers with a consistent set of guest information based on the FAQ questionnaire Sherry supplied.

What this includes
  • Edit the supplied answers into clear, guest-friendly language while preserving the confirmed facts.
  • Organize answers across arrival, transportation, suites, amenities, rates, pets, policies, business stays, and the local area.
  • Remove any chatbot response that incorrectly suggests a pool, spa, airport shuttle, monthly rates, riverside views, or in-suite laundry.
  • Keep the chatbot content aligned with the approved website FAQ information so guests do not receive conflicting answers.
  • Flag any remaining unanswered FAQ items rather than filling gaps with assumptions.
Closeout

Site Cleanup & CMS Database

Completing the remaining quality-control, maintenance, and handoff items on the website.

What this includes
  • Correct the duplicate/misaligned H1 and H2 issues and update the 55+ Living meta description.
  • Remove the public Wellness Village footprint until that concept is ready to be introduced.
  • Correct the contact-form phone field and verify the form notification routing once the destination email is confirmed.
  • Connect the social icons to the correct profiles, or remove any icons that should not be shown.
  • Confirm the Suites CMS workflow and the public/contact-form email setup so Sherry knows what she can manage directly.
Still needed to fully finalize the closeout: confirmation of the maximum length of stay, new Executive Suite photography, social profile URLs, any remaining FAQ details, and the new-domain email address.
03 / Separate Scope

Phase 2: Technical SEO, Analytics & New Work

The following items are separate from the original closeout work and are included in the Phase 2 quote. Each item includes the implementation work behind it—not only the visible page changes.

New Work
01

Analytics & Conversion Tracking

A complete measurement foundation for the new site—not simply adding one tracking code.

What this includes
  • Set up and organize Google Tag Manager so future tracking can be managed from a clean central container.
  • Install and configure GA4 across the site and confirm page activity is being collected correctly.
  • Configure Meta Pixel and Google Ads conversion tags as part of the same tracking architecture.
  • Create deliberate conversion events for contact-form submissions, phone clicks, email clicks, and outbound Wyndham booking-button clicks.
  • Map the relevant events into reporting / advertising platforms so campaign performance can be evaluated using consistent signals.
  • Test each conversion path on the live site and verify that the events are actually being received—not just that a tag was added.
  • Document the final event structure so the setup remains understandable after launch.
The previously promised Wyndham booking-click repair remains part of the closeout work at no additional charge. Phase 2 covers the broader sitewide analytics architecture, the additional conversion events, platform configuration, and validation.
New Work
02

Structured Data Implementation

Replacing the basic sitewide markup with hotel-specific structured data that better describes the property to search engines.

What this includes
  • Build LodgingBusiness / hotel-focused structured data using the verified property information.
  • Include the business name, address, phone, geographic coordinates, amenities, price range, and confirmed check-in/check-out details.
  • Place the markup where it belongs in the site structure instead of relying only on the generic homepage WebSite block.
  • Check for conflicting or duplicate markup before launch.
  • Validate the final structured data and correct any implementation errors that appear during testing.
This is technical SEO implementation work behind the page; visitors may not see it visually, but it improves how the property is described and understood by search platforms.
New Work
03

Open Graph (OG) Images

Creating a consistent branded image experience when Interurban Suites links are shared outside the website.

What this includes
  • Select and configure a default sitewide Open Graph image.
  • Create / configure dedicated shared-link imagery for the Suites page.
  • Create / configure dedicated shared-link imagery for the Gallery page.
  • Check the associated page title, description, and image combination so each shared URL presents clearly.
  • Test the implementation and account for platforms that may cache an older preview before refreshing.
Without this setup, a shared link can appear without a useful image, which weakens the first impression before someone even visits the site.
New Work
04

Image Optimization

A hands-on image-performance pass across a media-heavy homepage rather than a single compression setting.

What this includes
  • Review the 153 homepage image references and identify where source files can be reduced without visible quality loss.
  • Resize and compress oversized assets, using more efficient formats where the Wix implementation supports them.
  • Replace optimized assets carefully so the design, cropping, and responsive behavior are not broken.
  • Apply or verify lazy loading for below-the-fold imagery where appropriate.
  • Re-check the homepage on desktop, tablet, and mobile after image replacement.
  • Compare the post-optimization page behavior against the current 2.47 MB image-heavy baseline and resolve any obvious regressions.
The work is largely manual because image optimization has to preserve the visual quality of a hotel website while reducing unnecessary transfer weight.
New Work
05

Alt Text SEO

A manual accessibility and image-SEO review covering every currently unassigned image in the agreed set.

What this includes
  • Review all 102 homepage images and 25 Gallery images currently reported without alt attributes.
  • Write clear, descriptive text for meaningful room, property, amenity, and gallery images.
  • Keep descriptions natural and useful rather than stuffing them with repeated keywords.
  • Treat purely decorative imagery appropriately instead of forcing irrelevant alt text onto every visual.
  • Apply the final attributes in Wix and complete a page-level QA pass after implementation.
This is 127 individual image decisions and implementations, not one global SEO setting.
New Work
06

Branded 404 Error Page

A branded recovery experience for visitors who reach an invalid or retired URL.

What this includes
  • Design the 404 page so it visually matches the Interurban Suites website instead of using a generic error screen.
  • Write a clear, reassuring message that helps the visitor understand what happened.
  • Add useful routes back to key areas such as Home, Suites, Contact, and the booking path.
  • Build the page responsively for desktop, tablet, and mobile.
  • Test the page using invalid URLs and confirm it does not interfere with intentional 301 redirects.
A good 404 page keeps a dead-end visit inside the website and gives the guest a clear next action.
New Work
07

Dedicated FAQ Page

A new guest-facing FAQ destination built from the verified property information rather than simply placing raw questionnaire text on a page.

What this includes
  • Edit and structure the approved FAQ content into clear guest-facing questions and answers.
  • Organize the page into useful categories such as Arrival, Getting Here, Suites, Amenities, Rates & Policies, Pets, Accessibility, Business Stays, and Nearby Area.
  • Design an easy-to-scan layout suited to a large FAQ set, with mobile usability considered from the start.
  • Keep the FAQ page aligned with the chatbot’s approved answers so the website does not give guests conflicting information.
  • Set the page heading structure and basic page metadata appropriately.
  • Build and test the new page across desktop, tablet, and mobile before launch.
This is a new page design and implementation, not simply a copy-and-paste content addition.
New Work
08

Dedicated Terms & Policies Page

Designing and building a dedicated legal-information page so important guest terms, property policies, and approved legal content are presented clearly in one professional, easy-to-find location.

What this includes
  • Build a brand-new Terms & Policies page within the Interurban Suites website design system.
  • Organize the supplied legal and property-policy content into clear sections so guests can find important information quickly.
  • Structure areas for booking terms, cancellations, payment and authorization information, guest responsibilities, property rules, privacy-related notices, and other approved policy content where applicable.
  • Create a readable long-form layout with clear headings, spacing, section navigation, and mobile-friendly formatting.
  • Add the page to the correct footer and legal navigation so it is accessible from across the website.
  • Apply the page title, meta description, heading structure, and internal linking needed for a clean technical setup.
  • Build and test the page across desktop, tablet, and mobile, including long-text readability and link behavior.
  • Complete a final content-placement QA after the attorney-approved wording is supplied.
The page design, build, implementation, linking, and responsive QA are included in Phase 2. Final legal wording should still come from Sherry’s attorney or another approved legal source; the website implementation does not replace legal review.
Existing Closeout Correction and completion work already tied to the original website build.
Phase 2 New analytics, technical SEO, optimization, and new-page work quoted separately.
